The Role and Responsibilities of a Manager The Role and Responsibilities of a Manager In two related articles, “What Does a Manager Do?  and “Why It’s Time to Change Our Views on Management and the Job of the Manager,” we explore this changing and important role in-depth. In this article, we take a step back and focus on the fundamentals of the job of manager and why it is both critical to success in today’s organizations and why it represents a viable career option.   The Manager’s Role Inside the Organization Organizations are hierarchies of titles. The organizational chart or the structure of the company and the relationships of the jobs and responsibilities, from the top down, maybe CEO, Vice President, Director, then Manager, each of whom perform separate and critical functions, enabling the organization to function, meet its obligations and turn a profit. The higher you climb in the organization’s ranks, the further away you move from the day-to-day operations and work of the firm’s employees. While the CEO and Vice-Presidents focus more of their efforts on issues of  strategy, investment, and overall coordination, managers are directly involved with the individuals serving customers, producing and selling the firm’s goods or services, and providing internal support to other groups. Additionally, the manager acts as a bridge between senior management for translating higher-level strategies and goals into operating plans that drive the business.  The challenging role of the manager is accountable to senior executives for performance and to front-line employees for guidance, motivation, and support. It is common for managers to feel as if they are pulled between the demands of top leaders and the needs of the individuals performing the work of the firm.   The Work of the Manager Have you ever witnessed the plate spinner at the circus? This is the individual who places a breakable dinner plate on a stick and starts it spinning. The entertainer repeats this task a dozen or more times, and then runs around and striving to keep all of the plates spinning without letting any crash to the floor. On many occasions, the role of manager feels a great deal like this plate spinner. The manager’s functions are many and varied, including: Hiring and staffing.Training new employees.Coaching and developing existing employees.Dealing with performance problems and terminations.  Supporting problem resolution and decision-making.Conducting timely performance evaluations.Translating corporate goals into functional and individual goals.  Monitoring performance and initiating action to strengthen results.Monitoring and controlling expenses and budgets.  Tracking and reporting scorecard results to senior management.Planning and goal-setting for future periods. The daily work of the manager is filled with one-on-one or group interactions focused on operations. Many managers use early mornings or later evenings to complete their reports, catch-up on e-mail and update their task lists. There is never a dull moment much less time for quiet contemplation in the lives of most managers.   Types of Managers Managers are most often responsible for a particular function or department within the organization. From accounting to marketing, to sales, customer support, engineering, quality, and all other groups, a manager either lead a team directly or leads a group of supervisors who lead the teams.   In addition to the traditional role of departmental or functional manager, there are also product and project managers who are responsible for a set of activities or initiatives, often without any people reporting to them.  These informal managers work across functions and recruit team members from the various groups for temporary and unique initiatives.   Span of Control The phrase “span of control” relates to the number of individuals who report directly to any particular manager. One of the trends of recent years has been to reduce the number of managers in an organization and increase the number of direct reports working for remaining managers. A manager optimally has no more than six to eight direct reports, although many have ten or even twenty individuals they are responsible for on a daily basis. A smaller span of control enables increased support for training, coaching, and development. The larger span reduces the manager’s effectiveness for supporting her direct reports.   Authority of the Manager A manager may have the power to hire or fire employees or to promote them. In larger companies, a manager may only recommend such action to the next level of management. The manager has the authority to change the work assignments of team members. Essential Skills of the Manager Managers need to develop and hone the following skills: Leadership- You’ve got to be able to set priorities and motivate your team members. This involves self-awareness, self-management, social awareness and relationship management. Be a source of energy, empathy, and trust. And remember that effective leaders work daily to develop team members through positive feedback, constructive feedback, and coaching.  Communication- Become a student of effective communication in all its applications, including one-on-one, small group, large group, email and social media. Realize that the most important aspect of communicating is listening. Collaboration- Serve as a role model for working together. Support cross-functional efforts and model collaborative behaviors to set the example for your team members.  Critical Thinking- Strive to understand where and how your projects fit into the bigger picture to enhance your effectiveness. Review priorities in light of larger goals. Translate this understanding into meaningful goals and objectives for your team members.  Finance- Learn the language of numbers. Managers must strive to understand how company funds are invested and to ensure that these investments earn a good return for the firm. While you do not need to be an accountant to be a manager, it is imperative that you learn and apply the basics.   Project Management- Everything that we do that is new in an organization is created in the form of projects. Today’s managers understand and leverage formal project management practices to ensure timely completion and proper control of initiatives.   The Bottom Line- A Career in Management The work of management is divided into the activities around planning, leading, organizing and controlling, and the work of a manager encompasses all of these areas. Anyone aspiring to move into management as a career should develop and display strong technical and functional skills- become an expert in your discipline, and have a strong liking of interacting with, supporting and guiding others.   The best managers understand their role is about their team and their team’s performance and not about themselves. They work hard to develop the skills identified above and they take great satisfaction in the successes of their team members. First, there was FOMO, which addressed that universal feeling we have all developed thanks to the rise of social media. See in the dark ages (you know, before Instagram) we weren’t as jealous of other people because we had to use our imaginations to think about all the cool things they were doing, but now thanks to all these social media platforms we actually have cold, hard evidence that people are having way better lives than us (or so it seems) thus giving us all FOMO.Except somewhere along the way of being jealous and bummed that we were constantly missing things, we started to get tired of constantly being tuned in and knowing about every single thing everyone was doing ever. The average teenager spends around six hours a day refreshing their social media feeds and the average adult spends about four. That comes out to about 37% of a teen’s waking hours and 25% for adults being spent on social media. We are obsessed.And not only social media but we are also constantly checking our email and Slack and other work-related systems in some ways because we are expected to but also simply because we can.  According  to a new study  from LinkedIn, almost  70% of employees don’t disconnect from work email or communications even while on vacation.Embrace the Joy of Missing OutThat is why so many people are starting to embrace JOMO aka the Joy Of Missing Out. We are now so thrilled (well some of us) if we are on a plane and have no WiFi because we literally can’t be in the communication, social media, Slack GIF channel, etc., We have to take a break.Hayley Phelan recently explored this newly discovered freedom in a piece for The New York Times. After losing WiFi midway through a flight, instead of a sense of complete panic setting in, something else happened. “First: I did not fall out of the sky. Second: After recovering from the initial fury-implosion, I worked more intently and productively than I had in age s.”We are so tuned in and tuned up so now a clean break, even if for a few hours, is absolutely necessary and quite enjoyable. Tehrene Firman wrote on Well Good, “Adults need boundaries too, and after busy days hustling at work (and sometimes a side gig), staying in and socially disconnecting from the outside world by  washing off your makeup,  firing up Netflix, and gobbling down a  bowl of (healthy!) popcorn  is pretty much the crème de la crème.”This is why you are seeing digital detox holidays and no social media wellness treats rise in popularity. Heck, Google and Instagram are installing tools to encourage you to be on them less.  As comedian John Mulaney once perfectly put it, “In  terms of instant relief,  canceling plans is like heroin  â€¦ such  instant  joy.”This is not to say that you should be totally tuned out and sitting under a blanket in the dark watching Netflix in full on hygge-mode all the time - Glamour’s Elizabeth Kiefer recently wrote of a canc ellation epidemic amongst young women - but once a week, or once a month, or even for an hour or two, JOMO could do your mind wonders.So embrace the joy of missing out occasionally.

But for now, I want to share with you the top breakthroughs I experienced â€" because let me tell you, they shook me to my core.It’s my hope that after hearing a bout my experience, you’ll embark on your own Year of Fun in 2019, too! Yes, you can  plan  for funBeing a fun-loving person is often associated with being spontaneous, a characteristic I most certainly do not embody. I used to think that there are just two kinds of people: carefree, fun-loving spontaneous folks, and serious people who lead more structured, productive, and focused lives. Talk about limited thinking! I used to think being fun and carefree just wasn’t in the cards for me.But this year’s experiment taught me that it’s not all that mutually-exclusive. You can, in fact, plan for more fun.  It’s simply an exercise in  mindfulness.At the start of every month and week, I looked at the calendar in front of me and asked myself: what’s on the docket  just for fun?I added in  weekly drum lessons, regular  â€œgirls night” hangouts,  and rendezvous with friends from far away when my work took me traveling. Instead of looking  only  to pack my schedule with productive time or business networking opportunities, I added in “just for fun” days â€" like  hiking in Sequoia National Forestfollowing a speaking engagement in nearby Fresno, CA.And yes, while it is a total privilege to have such control over my schedule and the freedom to essentially  create  more leisure time, I’d been squandering that privilege in years past. I suspect a lot of us don’t recognize the power we have to pursue more fun in our day-to-day. According to  Project Time Off,52% of American workers have vacation days that go unused. And I can relate! I’d been so fixated on making ends meet or making sure my business was growing that I used to think,  â€œI don’t have the time to have fun!” When in reality, having more fun didn’t really seem to draw from my bottom line much at all.2. More fun act ually made me more productiveThis year, I took more vacation time than ever before. And my business also  performed  better  than ever before. We increased gross sales by over 15% this year, which is no small feat in a modestly-sized operation like mine.On top of sheer revenue, I tackled some of the biggest projects of my career this year. I finally finished  the book  I’ve been working on for the past 3 years. I launched my own independent  podcast, which I absolutely LOVE producing. And on top of what I’ve tackled through Bossed Up this year, Brad and I also finished our first home renovation and bought our second house, marking the official start of our property management business.According to a growing body of  research, happier workers are more productive and efficient. This is  exactly  the result I experienced in my year of fun, but I’ll admit: it took something of a leap of faith. When you’re worried about quarterly earnings being low, or have a huge looming deadlin e on the horizon, it can be really hard to give yourself permission to stop, put the work down, and make time for play.But time and again, when I allowed myself to have faith that fun time wasn’t happening  at the cost  of work time, I was able to really enjoy myself during periods of rest and renewal and experience more focused, productive work hours afterwards.3. Intentionally making memories boosted my happinessLate last year, I read the latest book from two of my favorite cognitive scientists, Dan and Chip Heath. Their book,  The Power of Moments: Why Certain Experiences Have Extraordinary Impact, made me realize that I hadn’t previously put a lot of thought into how I celebrate traditions or mark milestones. It’s actually one of the books that convinced me into having a  wedding (as I’d been previously leaning towards eloping.) In it, the Heath brothers make the case that a little bit of thoughtfulness can go a long way in elevating any moment into a once-in-a-lifetime memory.It inspired me to consider how I wanted to make once-in-a-lifetime memories this year, starting with spending some quality time with my mother to celebrate her 60th birthday. On something of a whim, we went in on a steeply-discounted package vacation deal from one of my favorite online adventure websites, TheClymb.com: an 8-day guided excursion back in my mother’s home country of Colombia.I knew this was going to be special because my mom never had the chance (a.k.a. never had the time or money) to return to Colombia since moving to the United States at the age of 13. Plus, it was my very first time seeing her home country myself! Her 60th birthday came around on Mar. 10, so my mom and I had most of the first quarter of 2018 to excitedly look forward to our trek, which was almost as much fun as heading off on it!We flew out on her birthday, spent a few days exploring Bogot, the capital city where my mother spent most of her childhood, before heading off on a 4-day trek thro ugh the jungle to ancient ruins in La Ciudad Perdida (The Lost City) in the Sierra Nevada Mountains near Santa Marta, a coastal beach town.I totally unplugged from work throughout our stay (being on a mountainside in the middle of the jungle made that easy), and we savored our time together. Upon return, I made my mom a video showcasing our time together, so we could look back and enjoy our experience all over again! It really felt like such an important bonding time for my mom and me, and now she’s on a kick about making her birthday a time for a special trip every year! This coming March she’s coming to Colorado to visit us in our new home and go hiking with us here.4. Cheap thrills count, too!Back when I was a kid, there was a class at summer camp called “Stupid, But Fun,” in which you and the counselors would presumably hang out and come up with silly games and ways to entertain yourself. Being the already-quite-serious Posh Spice impersonator among my friends, I conside red this offering to be utterly ridiculous and anyone who signed up for it to be fully bonkers. But now at 31, I finally get that the dumb little ways you can delight yourself count for a lot!I started the year by dying my hair  turquoise   â€" for no real reason other than I wanted to give it a go. I bought a moped â€" which I’m convinced is the most delightful mode of transportation on the planet, if a little impractical at times. Brad and I adopted a baby cockatiel and named him Tunafish (after our favorite Jurassic 5 rapper), having never even seen that breed of bird before.None of these moves made any goddamn sense, I’ll admit it. But they put more smiles on my face than I can begin to count!Throughout this year, I asked myself what my 7-year-old self would think of the life I’m living these days, and made a few wacky moves to delight my inner child. Happiness scholar Gretchen Rubin says that the first step of having fun is to deeply understand  what’s fun for you.  . A nd I’d argue the next step is to not edit yourself! There’s this very grown-up thing we tend to do to our childhood quirks: we rationalize them, try to make sense of them, and have to have “good reason” to indulge them.But bringing too much reason into this process really hampers the unbridled pursuit of fun â€" especially stupid fun. Fun that doesn’t make much sense. But let me tell you: cheap thrills count just as much as the bigger-ticket items when it comes to pursuing a life you feel reflect your values.5. What you’re aiming for mattersYou know that saying “Aim for the moon and you’ll land among the stars”? It’s a tad cliche, but holds some truth to it: the direction you’re heading in will absolutely influence where you end up. In the past, I wasn’t pointing myself in a direction that focused on fun. I was doggedly pursuing business success, growth and learning, maximizing my impact in my community, and ensuring a stable financial foundation for my futur e. These are all good things, sure, but they’re not all that fun.So without really thinking about it, I landed somewhere close to all those serious forms of success, without thinking about everyday delights.And you know what the consequences were? I was tired. I was feeling lonely.
